# Transaction 911 ## 6 Awesome Sources of Real Estate Referrals URL: https://transaction911.com/6-awesome-sources-of-real-estate-referrals/   Last week was a really interesting week for me in the real estate business, as I got 6 awesome real estate referrals that I was able to share with the agents at my office. Lots of agents are seeking referrals in order to add more buyer and seller leads to their sales pipeline. So, I thought it might be helpful for me to review where these leads came from and how they were converted—perhaps this will give you some ideas for ways to generate more referral leads in your own real estate business. 6 Sources of Real Estate Referrals Referral Exchange. If you are not a member of Referral Exchange, then you should join now. It’s a national network (membership required) and when an agent enters in a referral or when a buyer or seller goes on the Referral Exchange website, if the lead is for your area or community, you get an alert on your phone. Way to go Referral Exchange. This is the third Referral Exchange lead that we have converted this month, and we’ve manually entered about 8 leads into the system where we receive the referral fee once the out-of-area transaction closes. Referral Exchange takes care of the billing and the payments; this makes the whole process a piece of cake (or a piece of cheese, as my husband says). My Weekly Email Newsletter. An out-of-area agent has a relative who needs to sell his home in my area, so she gave me a call to see if I wanted to accept the seller referral. I asked her if we had met before, and she told me that she had been reading my email newsletter for years and remembered that I was from the area. Local Agent. An agent friend of mine from another brokerage is a bit under the weather and was about to take a listing. She looked long and hard at her recovery, and realized that she wasn’t going to be able to give her client the attention the client deserved. So, she called me to see if our company would take the listing off her hands. Investment Company. A local real estate investment company that buys, fixes, and flips contacted me to see whether we would represent them in the purchase and sale of a property. What a no brainer. Always have a few investors in your side pocket in case you come across some properties that need “a fix.” Former Agent from Our Brokerage. A former agent from our brokerage that works in another part of the county reached out to us to see whether we could help him with a multi-million dollar transaction. Our former agent is awesome, but has only been in the business a few years, so he felt it would be good if he were supported in such a large transaction. Past Client. Lots of people get referrals from past clients; that’s not uncommon. We have probably received more than one this week from a past client. But, one that comes to mind is a family who referred their brother to sell his home and buy a bigger one. Reflecting on this pretty awesome list, all I can say is that we, as agents, have to be able to spin lots and lots of plates at the same time. It is almost as if we are in the circus, since we seem to have lots and lots of things to balance and juggle. But, if you can do that effectively with good systems and tools, they hard work of the balancing act will pay off big. --- ## 4 Reasons Your New Listing Is a Heartbreaker URL: https://transaction911.com/reasons-your-new-listing-is-a-heartbreaker/   You’ve got the call, you’ve met the clients, and you’ve officially made it “listing official.” Congratulations! But before you start imagining the walk down the aisle to the closing table, ask yourself: Is this property actually “The One,” or is it just a summer fling that’s going to leave you ghosted? If you’re already spending your commission in your head, it’s time for a reality check. The honeymoon phase ends quickly when a property sits on the market.   Here are 4 reasons your new listing might lead to a breakup instead of a closing:   1. The Price tag is “Playing Hard to Get” Love might be priceless, but real estate certainly isn’t. Statistics show that sellers who overprice their homes decrease their “dating pool” of buyers by at least 50%. When a property lingers on the market, buyers start to wonder what’s wrong under the surface, is it a bad personality or a floor plan only a mother could love? Use market data to find that “sweet spot” price. If your sellers are still playing hard to get, suggest an objective third-party appraisal to act as the relationship counselor.   2. Location: Looking for Love in All the Wrong Places We’ve all heard that “location is everything” in love and real estate. A gorgeous home loses its luster if its backyard neighbor is a noisy highway or a neon-lit strip mall. While water views are the “tall, dark, and handsome” of the industry, remember that there is a lid for every pot. If the home shows pride of ownership, there’s a buyer out there ready to fall head over heels, you just might have to work a little harder to play Cupid.   3. An Uncooperative Seller (The “It’s Complicated” Status) A successful sale requires total commitment. If your seller is playing “hard to reach,” it’s going to be a rocky road. Sellers need to be flexible with showings, open to weekend dates (open houses), and willing to let buyers in via lockbox. If they only want to show the home every third Saturday when the moon is full, they aren’t ready for a serious relationship with a buyer. You can’t find a match if the door is always locked!   4. Property Condition: Needs a Makeover First impressions are everything on a first date. If a listing has “bad hygiene”, think unmade beds, cluttered counters, or deferred maintenance, buyers will swipe left immediately. To get that “love at first sight” reaction, the home needs to be in tip-top shape. Remind your sellers that they are competing with “fresher” listings. A little bit of staging and cleaning is the real-estate equivalent of a bouquet of roses; it makes everything better.   Set Expectations for a “Happily Ever After” The secret to a long-lasting professional relationship is getting everyone on the same page from the start. When sellers trust your expertise, you avoid the heartbreak of a stale listing and move straight to the honeymoon phase: Closing Day. Don’t let the paperwork kill the mood! While you’re out playing Cupid and finding the perfect buyers, let our Transaction Management Team handle the nitty-gritty details. We’ll manage the files from “Contract to Closing” so you can keep your focus on what you love: growing your business. --- ## The Fair Housing Trap Some Local Agents Are Still Falling For URL: https://transaction911.com/the-fair-housing-trap-some-local-agents-are-still-falling-for/   You may have heard of this age-old advice in home sales. In a competitive market, a buyer’s agent wants to give their client a competitive edge by attaching a beautifully formatted “love letter” to the offer. The letter talks about how much the family loves the backyard, how perfect the neighborhood is for their kids, or how they cannot wait to host holiday dinners in the dining room. This was considered a great relationship-building strategy. Sellers loved knowing who would be taking care of their beloved home. While it’s wholesome and heart-warming, the reality these days is that these letters are no longer a harmless marketing tool. But they can be a liability. National risk management experts and legal counsel across the country have sounded the alarm on this practice. Forwarding these letters can land you, your brokerage, and your seller in the middle of a devastating federal lawsuit.     Why this Seemingly Simple Letter Can Be a Legal Minefield The federal Fair Housing Act explicitly states that a seller cannot refuse to sell a house based on race, religion, color, national origin, sex, familial status, or disability. When a buyer writes a letter explaining that their children would love to grow up in the house, they are inadvertently introducing familial status into the negotiation. If the seller chooses that offer over an identical or stronger offer from a single individual or a childless couple, that rejected buyer has clear grounds for a housing discrimination complaint. The National Association of Realtors has issued strict guidance warning agents that these letters frequently contain photos or subtle descriptions that reveal protected characteristics. The legal consequences are incredibly steep. HUD (the Department of Housing and Urban Development) regularly adjusts civil penalties for inflation. A first-time violation of the Fair Housing Act can result in a baseline fine exceeding $23,000. That does not even include the devastating cost of legal fees, damage to your reputation, or the potential loss of your real estate license.     Numbers Over Narrative Our job as real estate professionals is to protect our clients from liability while getting the deal closed. The days of using subjective personal narratives to influence a contract are over. Many progressive brokerages and state associations now explicitly advise listing agents to document a flat refusal to accept buyer letters in the MLS notes. You can protect your sellers by having them sign a disclosure stating they will only review the financial terms of an offer, completely removing personal bias from the equation. Let the numbers do the talking. A clean, strong offer backed by solid pre-approval documentation or proof of funds is what wins deals in today’s market. If a buyer is facing a complex situation, like purchasing a distressed property, focus entirely on the objective logistics of the timeline and the transaction structure. Leave the emotional storytelling completely off the table.     Protect Yourself At the end of the day, real estate is a business transaction involving a major financial asset. While we cannot control every assumption a human being might make when reading a contract, we can absolutely control the evidence we facilitate. Stop encouraging your buyers to write letters, and stop forwarding them to your sellers. Instruct your administrative team or assistants to strip these letters from offer packages before they ever hit your client’s desk. In a world where everyone has the right to sue, keeping your transactions strictly professional isn’t just good etiquette, but it is the only way to safeguard your business, your reputation and your commission. --- ## 6 Ways Agents Can Derail the Deal URL: https://transaction911.com/ways-agents-can-derail-the-deal/   While the general public may believe that anyone with a luxury car or a designer handbag can sell a home, unfortunately it’s just not that easy. To effectively identify consumers who are ready, willing, and able to buy or sell involves a great deal of skill—not only in putting together a transaction, but also in assuring that the transaction gets to the closing table. While it’s true that both buyers and sellers can cause a good transaction to run amok, so too can the real estate professional. Here are the 6 most common ways that agents can derail a deal: Overselling, Not Listening. It’s true that your goal is to close. But, at what cost? Remember that you have a fiduciary obligation to your client. To that end, you need to listen carefully to what buyers and sellers want and need; don’t foist your opinions on them or encourage them to do something that they do not want to do. If you even get the slightest hint that your client has cold feet, don’t oversell. Most clients with cold feet will pull out at some point in the transaction Better to listen carefully and help your client to purchase or sell according to their own needs and not yours. No Contact with the Buyer’s Lender. If your client comes to you with a lender pre-qualification letter, make sure to contact the lender prior to touring homes. You’ve got to make sure you understand the loan terms before you write the offer; you also want to confirm that the lender qualification is based on a formal documentation review and credit check. There’s nothing worse than learning that your client doesn’t qualify after you’ve gone out looking for homes and even had an offer accepted. Responding Quickly. Rushing things in real estate never works to your benefit. If you and your seller are too quick to respond to an offer, you may not have had time to carefully weigh all terms. Additionally, when your hurry, you may close the door on other offers that are incoming. There are so many parties involved in a transaction and so many details to review. When people rush, mistakes are made. Making Decisions that Aren’t Yours to Make. Here’s a typical agent response: “My client told me to say…” or “My client wants…” In truth, most agents haven’t even reviewed the subject in question with their clients. While it is your fiduciary obligation to do what is best for your client, it is beyond the scope of your role to make decisions on behalf of your client. Always check in with your client and make sure that your comments and communications reflect your client’s wishes. Poor Communication with Clients. You’ve represented lots of buyers and sellers, but it is likely that your client has only been involved in a few transactions. Transactions can be stressful, and it is the agent’s job—your job—to mitigate that stress with excellent communication skills. Be careful in how you deliver bad news. Deliberate and soft language will keep all parties content and relaxed throughout the transaction. Sending Inappropriate Email. Email makes it just so easy for agents to do their jobs. After all, we are expected to keep so many plates spinning at the same time. Watch what you say. Some things are better left for phone conversations, and email messages are often misinterpreted. When problems arise, it usually takes multiple emails to resolve something that could be handled in a 40-second phone conversation. Keep your emails short and professional. Transaction tragedy does occur, and transactions can be derailed. Just try your best to assure that it is not you who derails them. --- ## Agents, Do You Need Classes in Weaponry? URL: https://transaction911.com/dealing-with-real-estate-problems/   When we were growing up, we got to take a lot of after school enrichment classes. From Girl Scouts to tennis to tee-ball to cooking, when I was little, I had classes in just about everything. In fact, it’s actually become a family joke, where my husband sometimes says, “Don’t tell me… you had a class on that when you were younger, didn’t you?” According to data on closings for San Diego County, the average real estate professional closes 5.5 transactions per year. That converts to one closing every 66 days. If you are only closing one transaction every two months or so, you may not see the kinds of wacky things that busy real estate professionals closing upwards of 100 transactions per year see fly past their desks. You may not have the level of expertise that comes with that significant number of closings. (But, don’t worry. You can take classes to gain insights instead.) Attract Bees with Honey, Not Vinegar As someone who is involved in a pretty significant number of closings each year, I’m noticing a new trend. Maybe it is a California thing, I don’t know. (After all, we do live up to our reputation as a pretty litigious state.) What I notice is that in order to solve problems, inexperienced agents often wield a stick instead of dangling a carrot.   If you need to work out something with the other agent, you’ve got to consider your options. Here are three things NOT to do when faced with a challenging real estate problem: Do not threaten mediation or arbitration unless you fully understand what mediation and arbitration involve. For example, do not say that you are going to take someone to mediation over a $50 bill, unless you are certain that the fee for mediation is less than the amount owed on the bill (otherwise you demonstrate your lack of expertise).  Do not threaten to report someone to the state licensing authority unless you are certain that they have done something that is under the auspices of the state licensing authority. For example, scam artists often advertise listings as rentals on Craigslist. Sometimes the listing agent doesn’t know about the scam until a consumer alerts them. That is absolutely not something under the auspices of the state licensing authority.  Do not provide legal advice to your client unless you are an attorney. In fact, even if you want to give some real estate advice, only advise on what you know and not what you think you know. Seek a mentor or check in with your broker to learn the best solutions and then get back to your client with the best advice possible.   If you do not have a lot of experience in real estate, that’s okay. But, by all means, never ever wield the stick when you don’t know how to do so. Instead, dangle a carrot of offer some honey and work with the other parties to the transaction so that you can see the next successful closing in your future. --- ## The Truth About Real Estate Teams No One Explains to New Agents URL: https://transaction911.com/should-new-agents-join-real-estate-teams/ I recently received a message on my Instagram/Threads feed from a new agent: “Hi Melissa, I’m just starting out. I’m looking at a RE/MAX team, but they want a 50/50 split. In an era where I can use AI to do my marketing and lead gen, is it still worth giving up half my commission? Should I go solo or join the team?” It’s the age-old question and the answer depends on where you want your time to go.   The Death of the “Big Box” Brand Advantage In recent years, the brokerage name on your business card is secondary to your digital footprint. Recent stats show that nearly 90% of buyers and sellers choose an agent based on their personal brand and social proof rather than the national franchise they belong to. Whether you are at a legacy brand like RE/MAX or a cloud-based independent, your success depends on your ability to build a “Community-First” personal brand.   The “Tech Stack” Factor Before you worry about the 50/50 split, look at the team’s AI and CRM infrastructure. * Solo: You have to pay for, set up, and manage your own AI lead-nurture bots, video editing software, and predictive analytics tools. Team: A high-performing team should provide a “turnkey” tech stack. If they are asking for 50% but still expect you to manually cold-call and mail flyers, run. They should be providing you with high-intent data and automated systems that allow you to focus purely on human interaction.   Behavioral Profiles: Beyond the DISC We used to just look at the DISC profile (S’s and C’s for teams, D’s and I’s for solo). Nowadays, we also look at your Tech-Adaptability. The Specialist: If you love the “human” side—negotiating, showing homes, and calming nervous sellers—but you hate the backend tech and algorithm chasing, join a team. The Architect: If you are a digital native who knows how to leverage AI to 10x your output and you enjoy building systems, go solo.   The “Experience” Reframe It used to be that young agents joined teams for “gray hair” credibility. But now, the script has flipped. Younger agents often have the digital fluency that older clients want (virtual reality tours, AI-driven market forecasting). However, a team provides “transactional muscle.” If you’ve never navigated a complex inspection contingency or a multi-party litigation threat, a team lead acts as your insurance policy against expensive mistakes. Until you have 10-20 transactions under your belt, it’s important to be sure you have the support of a team leader, your broker, or another office mentor. Mistakes in real estate are costly, and prevention is easy by aligning yourself with an experienced and supportive team.   Analyze the Lead Quality If the team is handing you “Zillow-style” raw leads that require 50 touchpoints to convert, that 50% split is a high price to pay. If they are handing you vetted, high-intent appointments generated through their established brand authority, that split is actually a bargain for the time you save.   To help you make a decision, here’s a quick summary of the pros and cons of joining a team vs going solo:   Aspect Join a Team If… Go Solo If… Financials You need immediate cash flow and “low-hanging fruit” leads. You have 6–12 months of runway to build your own funnel. Marketing You want to plug into an existing “Media House” brand. You want total control over your TikTok/Social content. Technology You want the AI tools provided and managed for you. You are a “Power User” who wants to build a custom tech stack. Accountability You thrive in a “bullpen” environment with daily stand-ups. You are a self-starter who doesn’t need a coach to get out of bed.   Bottomline, don’t join a team for the “brand.” Join a team for the mentorship, the lead-flow systems, and the protection of your time. If the team isn’t making your life 50% easier, they shouldn’t be taking 50% of your check.   --- ## The Real Estate Agent’s Silent Productivity Killer URL: https://transaction911.com/real-estate-agents-silent-productivity-killer/ Do you ever get to the end of your business day, look at the clock, and wonder where the day has gone? Today, as I write this, it is high noon, and I had planned to get down to business about three hours ago. Where has the time gone? Between taking a few calls, paying a few bills, and solving a few problems, three hours has elapsed. Does this ever happen to you? Working “On” and “In” Your Business As real estate professionals, each and every workday needs to include two types of activities: those related to working “on” your business and those where you work “in” your business. That’s an important distinction, which Michael Gerber makes in his book The E-Myth Revisited: Why Some Small Businesses Don’t Work and What to Do About It. Of course, while it would be ideal for the people working “on” the business to be different from those people that work “in” the business, that is just not possible for most real estate businesses. Most real estate agents fly solo. What Gets You to the Closing Table? When you work “in” your business, this is the work that you do as a real estate agent in order to get the deals to the closing table. This is you writing and negotiating contracts, attending listing appointments and inspections, and showing properties. This is the technical work that is required to get your deal closed—so that you have the money necessary to work “on” your business. But sometimes, the work “in” the business takes so much time. You plan to go to the office early, put in a few hours creating content, making calls, and posting a few tidbits on the social media sites, but just as you are driving into the parking lot, the phone rings. It is the buyer’s agent on one of your pending listings. He has arrived with the home inspector at your listing and there is no key in the lockbox. You then spend the next few hours tracking down the key and delivering it to the buyer’s agent. How many times has some version of this problem happened to you? Time Management Tips that Produce Positive Results Time management and real estate may not seem to go hand in hand. But, they really must. If you are going to balance your time between the things that you must do to make fast money and the things that you need to do in order to develop a sales pipeline that withstands the test of time, you’ve got to have balance. Here are some things that can do right now to avoid falling into the time management Bermuda Triangle: Schedule appointments with yourself. How often do you cancel an appointment with your doctor or CPA? Probably, not too often. Well, make those same appointments with yourself, and do not cancel them. When you have important work to do that relates to the long-term sustainability of your business, what does that say about how you value yourself if you are constantly cancelling those appointments? Turn key tasks into habits. Set aside a regularly scheduled time for each of your tasks; this is what creates habitual actions. About 12 years ago, I started working from home on Fridays because my kids got out of school early on Fridays and commuting back and forth just didn’t seem feasible. At that time, Fridays become my day to write my blog posts, schedule my email newsletters, and work on my social media and other advertising and marketing projects for the following week. Now, I’ve only got one kid still in school and he’s a senior, but I still stay home on Fridays. My Friday turned from a task into a habit—and it is one that has worked for me for the last 12 years! Batch your tasks for fewer interruptions.Instead of switching between calls, emails, follow-ups, and lead nurturing throughout the day, group similar tasks together. For example, dedicate one block for returning phone calls, another for writing offers or transaction updates, and another for prospecting. This reduces mental fatigue and keeps you in the right “mode” for each type of task. Protect your prospecting time like gold. Your pipeline depends on consistent prospecting. Block it on your calendar at the same time every day—often mornings are best—and treat it as a non-negotiable appointment. Even just one focused hour per day can dramatically change long-term outcomes. Use a “top three” daily focus list. Before your day begins, identify the three most important tasks that will move your business forward. These are your must-dos, regardless of the unexpected fires that pop up. This simple practice keeps you anchored to progress rather than just busyness. Plan tomorrow before you leave the office today. Take five minutes at the end of each day to outline your schedule and priorities for the next day. This helps you start fresh and focused instead of scrambling or reacting the moment you sit down. Limit your availability with intentional boundaries. Real estate can feel like a 24/7 job, but you can still set healthy communication windows. Let clients know your response expectations (e.g., “I return calls between 1–3 PM”), which keeps you from being pulled away from high-priority work every five minutes. Delegate or automate whenever possible. Use automation tools, templates, and routines for repetitive tasks—like email follow-ups, calendar scheduling, or document reminders. And if you have transaction coordinators, virtual assistants, or office support, leverage them fully so you can focus on income-producing activities. Track where your time actually goes. For one or two weeks, jot down what you do each hour. Most agents are shocked when they realize how much time disappears into low-value tasks. Tracking gives you clarity on what to cut, delegate, or better structure. Build buffer time into every day. Real estate is unpredictable—inspections run long, clients call urgently, contracts need adjusting. Adding a 15–20 minute buffer between major tasks keeps your day flexible instead of immediately falling apart after one unexpected delay. Plan your year early to save yourself hours later. One of the most effective time-management strategies for real estate agents is taking the time now to map out the year ahead. When you intentionally reflect on what worked, what didn’t, and where your time was wasted, you can create a clearer roadmap for the months to come. Planning your goals, priorities, and systems in advance eliminates a lot of the day-to-day guesswork that slows you down. Instead of reacting to your schedule, you’re directing it. A thoughtful annual plan helps you stay consistent, track progress more easily, and avoid the constant scramble that drains productivity. Investing a little time upfront gives you far more time back throughout the year—and lets you start strong, focused, and in control. In the meantime, I’d like to ask you a favor. Starting today, before you go to sleep, ask yourself this question: “If I live every day the way I did today, what kind of future would that create?” Did you like your answer? If not, maybe it’s time to make a few changes. --- ## The One Thing Everyone Needs This Holiday Season… and It Costs Nothing! URL: https://transaction911.com/gratitude-in-the-real-estate-business/ With Thanksgiving upon us, there seems to be no better time to reflect on the year, on what you have, and on how to be a better you in 2026. “It’s also a great time to express thanks and gratitude, not only for what we have but also for those that support us and who have helped us to be successful this year.” It’s always a little bit funny when you hear people (myself included) say such things as “I need to get home to defrost the chicken” or “I’m so frustrated because my photos aren’t syncing from my phone to my computer.” Clearly, these are first-world problems. By the very nature of the fact that you are reading this article, I know that you also have primarily first-world problems. Ways to Express Gratitude in Your Business So, how does a person with first-world problems express gratitude? That’s easy. Here are ways to reach out to those around you to express thanks for all they have done for you this year. Write personal notes. Personal notes take time to write, particularly if they come from the heart. When I write a personal note to a friend, relative, client, business associate, or referral partner, I always try to think about one very specific item that I can mention in the note. Example: “I really appreciated how you took time out of your busy schedule to help me optimize my LinkedIn account.” When you provide specific examples and details, you send a message that is much more personal and will lead to a longer and richer relationship. Keep a journal. Just like a mantra, create a regular journaling routine where you jot down some of the things for which you are grateful. These don’t have to be life-changing things, but simple things that make you happy. Today I’m grateful that I’m able to have Thanksgiving with my entire family, that the weather is good, and I can take my dog for a nice, long walk. Use social media to share your gratitude. If there is one thing I know for sure, it’s that people on social media are sick and tired of hearing about the election results. Spread the good word and some happiness among your peeps by sharing your gratitude through motivational quotes, pretty pictures, family photos, and even personal messages on the timelines of your friends, family, and other Facebook connections. Host a quick gratitude video message or livestream. Video builds a stronger emotional connection than text. Record a short clip on your phone thanking clients or followers for supporting your business this year. Keep it simple and real. If you have a social media following, go live for five minutes to share what you’re grateful for and shout out specific people who helped your business grow. People love feeling seen. Send a personalized “Year-in-Review” thank-you email. Email tools now make it easy to segment your contacts and send heartfelt, tailored messages. Share a short recap of your year: the wins, lessons learned, and what you’re looking forward to. End with a personal touch (even a simple one-sentence PS that mentions something specific about them goes a long way). Create a social media “Client or Partner Feature.” Show gratitude publicly by spotlighting a customer, referral partner, or team member on social media. Share how they made an impact on your business and why you’re grateful for them. It shows appreciation and boosts their visibility, too. Win-win! Send a digital gift or exclusive resource. Instead of holiday swag or generic gifts, send something useful, like a downloadable checklist, a mini-guide, or a resource that solves a common problem your clients have. In today’s attention economy, value is the new gift. And when someone uses your resource, they’ll remember you gave it freely. Offer a “VIP early access” benefit. If you have new services, products, or events coming soon, express gratitude by giving loyal customers early access. Tell them: “You’ve supported us this year, so you’re the first to know.” Exclusivity feels like appreciation. Leave voice memos instead of texts. With DMs on Instagram, Facebook, and LinkedIn now supporting audio messages, sending a 15-second genuine voice memo feels more personal than a typed message. Your tone conveys sincerity and warmth. According to Inc.com, studies have linked gratitude to improved mental health, better relationships, decreased stress, increased energy, and exceptional mental strength. If you want to hit it hard in the coming year, why not begin with gratitude now? To that end, thanks so much to all the readers of my blog for your continued support and lovely messages throughout the year. Best wishes to you all for a wonderful Thanksgiving. Cheers! --- ## 3 Simple Ways to Jumpstart Your Fall Business URL: https://transaction911.com/3-simple-ways-to-jumpstart-your-fall-business/ It’s no secret to anyone who has been in the real estate business for more than a few years that this is the time of the year when things begin to slow down. Real estate pros start focusing on Halloween costumes, Great Aunt Mildred’s pumpkin pie, and even getting the best deals on holiday gifts. This behavior, of course, gets in the way of putting more deals into the sales pipeline, and seeing more closings in the next 90-120 days. The good news is that Realtor.com has forecasted a pretty busy fall season. In order to make sure that those holiday plans don’t get in the way of your upcoming income goals, I’ve put together a list of 3 surprisingly simple ways to jumpstart your fall business. How to Jumpstart Your Fall Business Know your numbers. In order to figure out what you need to do each day and each week, you’ve got to set some concrete goals. How many transactions do you want to close each month? How many buyer or seller prospects do you need to interact with in order to meet those goals? Once you know your numbers, then you can drill down and hatch a plan. Specifically, how will you connect or interact with these prospects? Will you be making phone calls, holding open houses, or utilizing email marketing, social media, and videos? Plan Your Week. Have you ever noticed how good it feels when you accomplish your goals? Those good feelings provide the internal drive to push further and harder the next time. That being said, you don’t want to set yourself up for failure in your business. By sitting down on Sunday night or Monday morning and actually planning your week—setting a few goals—you will set yourself up for success for that specific week and beyond. If you make a list of 357 things you want to accomplish, the odds are not in your favor and you may feel badly at the end of the week when you haven’t achieved your weekly goal. Instead, set 3-6 weekly goals and seek to accomplish them. Establish a daily routine. American entrepreneur, author, and motivational speaker Jim Rohn is known to have said, “Either you run the day, or the day runs you.” So, before you end up at the party store trying on Halloween costumes, you’ve got to hunker down and hatch a plan for the day. As if you were a puppy dog that loves to eat and take a walk at the same time each day, set up a routine that you can stick to—no matter the season. Personally, I always use Fridays to plan out my marketing activities for the following week. This includes my social media scheduling, my email marketing, blog posts, and videos among other things. Tools and Apps Can Help There are many tools and apps available to help real estate professionals to jumpstart their business and stay on task week in and week out. And, while we all have our own unique work styles, the key is to select one tool or app and give it a try—implementing the tool to see if it helps you to increase your business through this season and the next one. Fall is a challenging season with all the wonderful and fun distractions that come with it. Making a plan and sticking to it at this time of year will be vital to your real estate success in winter and beyond. --- ## 4 Things You Should Never Say to Another Agent URL: https://transaction911.com/never-say-these-to-another-agent/ If you are a regular reader of my blog, then you already know how I feel about email. Simply put, it’s a super effective marketing tool and a great way to send quick informational messages, but it is not an appropriate way to negotiate anything… especially the details of a real estate transaction. So much can be accomplished by just picking up the phone and having a 5-minute conversation. In a dialogue, there’s less opportunity to read between the lines, to misinterpret the other agent’s meaning. And, if there is back and forth, it can occur much more quickly and efficiently in a phone conversation. Then (and only then) follow up with an email. 4 Things You Should Never Say to Another Agent Nevertheless, some agents still love email and use it for absolutely every sort of communication. Here are 4 phrases that I’ve seen in emails to other agents this past week, and what I believe that you should never (ever) say to another agent. “I’ve done a ton of transactions, and I know…” In addition to the funny little fact that a ton could be just one sale (as a house weighs more than a ton), it’s not appropriate to brag or tell other agents how it is—especially if you are a buyers agent hoping to get the listing agent to work with the seller and accept your client’s offer. If you believe that the other agent may benefit from your expertise (and you may want to check the other agent’s production before saying such a thing), it would be better to say, “I’d be happy to help you out in any way that I can, if it means that I can get my clients into this property.” Showing off isn’t cool. “I guarantee you that we will close next Friday.” You are just the listing agent. You are not the financier (in most cases), and you cannot control the actions of others. Know that if you do say such a thing, you may need to put your money where your mouth is. It would be better to say, “According to the lender, everything looks good for us to close next Friday.” “You need to get over there right now and open the door for my contractor.” Admittedly, this one was a text to an agent in my office because the seller had removed the key from the lockbox. If you want someone to do something for you, you need to ask nicely. Better to say, “Would you mind coming over and opening the door?” or “Could you please call the seller and locate the key?” “My clients are not going to close unless…” By all means, if you say this, make sure that it is true. If you are using “your clients” as a screen because you are trying to hold the transaction hostage due to a minor problem, just seek a resolution. In this case, we knew that this was false bravado because the clients expressed interest in closing as soon as possible. Better to just solve the problem then puff your chest. Most people can see your bluff. These are just four crazy things that agents have said in the past week or so. I’m sure you’ve got funny stories to tell about your experiences in the world of real estate. What strange things have other agents said to you? How did you respond? --- ## 4 Reasons to Get to Know Your Affiliates URL: https://transaction911.com/4-reasons-to-get-to-know-your-affiliates/ A few years back, I had the privilege of attending the Prospect Mortgage Semi-Annual Meeting. They invited me to join them in order to talk about how mortgage professionals can provide value to their Realtor® partners. Specifically, we discussed how to identify good partners and build winning relationships. On the drive home from the meeting and at several points in my life thereafter, I began to consider the deluge of requests for appointments that I receive on an ongoing basis. I actually do take most meetings and set appointments with any mortgage professional, title or escrow representative that wants to meet with me. But, my question is, do you? Here are four good reasons to meet with Realtor® affiliates—even if you don’t think that you want to: You get to practice your elevator speech. The more people you talk to about your business, the more proficient and professional your presentations will be. Share what you are looking for in a strategic partner, how you provide value, and what values you are looking for in others—good communication, trust, honesty, etc. You get to practice your listening skills. The best way to learn about whether someone will be a good strategic partner for you is to listen to what they have to offer. The more you listen, the more you will learn. You will either be impressed by what you hear or the other individual will cook their own goose. You won’t have to do anything; they’ll talk themselves into a hole from which there may be no escape. The contenders will become obvious. Cream rises to the top. And, the more people you speak with, the more obvious it will be to you as to whom would be a good fit for you—who is killing it in real estate. Your partner will make himself (or herself) known. More meetings mean more closings. It’s a numbers game, of course. And, the more people you meet, the more chances you have of putting together a transaction. When you take a meeting, you meet someone new. Perhaps you make a lasting impression and somehow that person introduces you to someone who could really make an impact on your business.   So, the next time you decline a meeting or ignore a phone call from someone requesting a meeting, carefully consider the benefits or saying “yes” and setting a date. Your next meeting could be your best one. --- ## Read This: The Ikea Effect and California Transaction Coordinators URL: https://transaction911.com/read-ikea-effect-california-transaction-coordinators/ California Transaction Coordinators Can Help Thanks to Darin Persinger of Productivity Junkies, I was recently turned on to Dan Ariely’s principle, which he calls The Ikea Effect. If you have ever been to Ikea, then you know that Ikea is a successful Swedish manufacturer with a cutting-edge catalog and stores throughout the world. They offer extremely affordable furniture and household items, but the key is that it must be assembled by the buyer. The assembly is often not too easy, and the instructions for assembly generally are only in Swedish–which makes it lots of fun! Have you ever seen a piece of Ikea furniture for sale on Craiglist? If you have, then you have no doubt seen that most Ikea items fore sale on Craigslist are extremely overpriced. That is The Ikea Effect. The theory, according to Ariely, is that “when people construct products themselves, from bookshelves to Build-a-Bears, they come to overvalue their (often poorly made) creations.” This theory explains why some home sellers believe that their property is worth thousands of dollars more than market value—because they built a deck themselves, installed brickwork on a Saturday, or constructed a built-in bookshelf. However, the same theory can be applied to the behavior of real estate agents. Agents may spend hours and hours creating their own websites, postcards, or marketing materials only to over value the quality of those materials. Agents may do their own short sale negotiating or transaction coordinating only to later realize that the time spent was not worth the effort. They should have hired a California Transaction Coordinator to help them and to save them time. When considering where your real estate business is going in the remaining months of the year, why not carefully consider what you do best and focus your time and your efforts on only those activities. In a recent meeting, renowned real estate trainer and motivator Brian Buffini said, “To grow your business, you need to take things off of your plate.” However, he said nothing about whether those plates should be stacked on a table purchased at Ikea 😉 If you want to bring your A game this year and your A game does not include paperwork preparation, that’s where we can help. Please do not hesitate to contact the California Transaction Coordinators at Transaction 911. --- ## You Can Also Look Like a Fool URL: https://transaction911.com/real-estate-agents-sales-pitch/ Day in and day out, I am bombarded by service professionals trying to get in front of me and pitch their wares—title insurance, property insurance, mortgages and lending, escrow services, and home warranty services among other things. Even though the line of providers seems never-ending, I do try to accommodate many of them. I’m looking for synergy. I’m always searching for people to help me continue to build my business. Everyone gets a turn at the plate. But with this revolving door and these continuous appointments, I’ve begun to pay lots of attention to the pitch. After all, I’m a salesperson too. If I meet another salesperson, I want to see what he or she can do. Perhaps this person can help me hone my skills. Maybe it goes without saying, but there are several things that service providers and real estate professionals can do to appear more polished when making their pitch. Know your product. Make sure that you know your product inside and out. If you are going to a listing appointment, you best know the property addresses and square footage of every other recently sold or currently on the market property in the very same neighborhood. If the seller asks, and you don’t know, you will look like a fool. Do your research. In addition to knowing your product, research the individual that you are set to meet. If a Realtor® affiliate is meeting with a Realtor®, the affiliate should know all about the agent’s current book of business, how he or she does their marketing, and any other information that you can locate through an online search. For homebuyers and home sellers, learn about when the home was purchased, how many liens are on the property, and any other data that might help to demonstrate that you are not a fool. When you attempt to tell a marketing expert that he or she needs to use Facebook, it will not bode well for you. Listen. Admittedly, I could improve in this area. I think most everyone likes the sound of his or her own voice more than the voice of others. Listen and learn. Learn everything that you can about what homebuyers or sellers want and need from you, from their purchase and sale, or out of the transaction. If you are an affiliate working with an agent, instead of talking all about yourself, ask the agent what he or she is looking for in a strategic partner. You can only be that strategic partner if you can identify a way that you can work together. You won’t be able to do that, if you are talking instead of listening. It’s important to prepare for any presentation that you have. Whether the presentation is with a homebuyer a home seller or another business professional, when you do your research, know your product, and listen to your audience, you’ll be on the road to cementing relationships. And, better yet, you will not strike out when you finally get your chance at bat. --- ## Here Are Bill’s Rules of Real Estate URL: https://transaction911.com/here-are-bills-rules-of-real-estate/ In speaking with my friend Bill Archambault several weeks ago, he pointed out to me his simple yet effective rules of real estate. I just love this guy. He has sage wisdom that comes from significant life experience. Here are Bill’s Rules of Real Estate I. Thou shall protect thy license above all. II. Thou shall protect thy client above all, but thy license. III.  Thou shall protect thy referral source above all, but thy client and thy license. IV. Thou shall protect thy commission above all, but thy referral source, thy client, and thy license. While these rules are certainly not equal to the Ten Commandments that Moses received from God, they do provide some good guiding principles for real estate professionals. As real estate professionals, we are often put into situations where we are made to feel uncomfortable. We could be asked to do something that we are not certain is within our ethical framework, or we could be asked to do something that is not even legal. Clearly, you should never do anything that is illegal. But, you should also never do anything outside of your comfort zone, and never anything that could put your license in jeopardy. Without your license, it’ll be curtains for you. According to a 2023 report from the Bureau of Labor Statistics, there are 544,400 full time sales agents and brokers. Yet, in the very same year, the National Association of Realtors® reported their membership at nearly one million members. It would stand to reason that there are thousands of real estate professionals who are not making a living selling homes. Those same folks may be challenged financially. And when you’re challenged financially, sometimes you take risks that you shouldn’t take. But, by all means, it’s a good idea to follow Bill’s rules and protect your license above all. Along those same lines, Bill advocates never throwing your client, your referral source, or your commission out with the baby and the bath water. One thing that always strikes me as I am cutting agent commission checks is how readily agents give away their commission at the eleventh hour. It’s one thing to have a policy of always buying your clients a gift or providing them with a one year home warranty, but it is entirely another to provide them with a closing cost credit from your commission check. When you gift your commission, you set a precedent. Consumers will begin to expect these handouts across the board, and a lower commission undervalues the work we do—the work I do—as an industry professional. Commission is generally high because we pay for everything up front. Not only that but we are taxed at a higher rate as independent contractors. Given those facts and the fact that most real estate professionals share a piece of their commission with a broker, the errors and omissions insurance company, and possibly other industry professionals, you’ve got to protect what you have left if you expect to earn a decent living in real estate. Those four simple rules—Bill’s rules of real estate—are an amazing set of stone tablets. If you keep those in mind, you will see much success. And if you follow those other commandments (the ones that have been around since the beginning of time) you probably won’t do so bad either. --- ## 5 Shocking Things Nobody Ever Told Me About Real Estate URL: https://transaction911.com/5-shocking-things-nobody-ever-told-me-about-real-estate/ When I was a little girl, I used to see all of these well-dressed women driving fancy cars and putting up For Sale signs in my neighborhood. So, I got this idea in my head that real estate is just putting up a few signs, checking out a few homes, holding and attending a few open houses, and waiting for the offers to pour in. The funny thing is that this same perception is still around today. The good news is I didn’t get into real estate because it looked like a glamorous career choice. In fact, I started helping my husband’s real estate team with paperwork and marketing. That eventually snowballed into getting my real estate license, founding an independent brokerage, and creating two companies that provide administrative services to real estate professionals. Once I got into the trenches, I saw there is a lot that nobody tells you about selling real estate. The Shocking Thing About Real Estate Here are the 5 things that seem to shock new agents when they get into “the business”: Real estate is, in fact, a business. First and foremost, while you may work in a brokerage, you are running your own micro-business. If you plan to actually earn a living representing buyers and sellers, you need to generate your own leads, manage your own systems, and be responsible for making sure that the transactions get to the closing table. This means that you need to show up at least 5 days a week and put in a good 40 hours. Good systems are vital to your success. Since real estate is obviously not just putting up a few signs, you have to put into practice good systems—using the best productivity tools and apps. Systems and products that slow you down or are ineffective can get in the way of your success. It’s great to be able to quickly manage leads, clients, and paperwork from your mobile device in the field, and you have not established your own efficient processes, you’ll be up into the middle of the night and feel swamped. You have to control your day. There’s nothing worse than getting geared up to make a few calls and generate some new business and then you learn that the key is missing from the lockbox or a water pipe broke at your new listing. Attending to stuff like that can completely derail your day. In order to stay on task, it’s important to set daily targets and make sure that you complete those tasks first. You cannot take anything personally. One of the newer agents in my office commented that she couldn’t believe how involved she got in the details of people’s lives. “I never thought,” she said “that I would have to spend so much time worrying about the details of each transaction.” To be a successful agent, you cannot take anything personally. The very best way to become more objective is to put more leads and prospects in your pipeline. The busier you are, the less time you have to sweat the small stuff. You must always sharpen your saw. Twenty years ago, real estate agents had limited access to Internet and corded car phones; lead generation meant mailing items at the post office, and calling Expireds, FSBOs, and your geographic farm. That’s obviously not the case these days. As agents, when the next new thing comes our way, we have to be ready to sharpen the saw and make changes accordingly. There are a whole slew of other things that surprise me about real estate. But the best part is the adventure. No matter how many deals you’ve closed, each one is a whole new animal—with its own set of people, personalities and problems. But if you’ve got a lot of deals in your pipeline, you’ll worry less and enjoy it a whole lot more! --- ## Avoid Going Stir Crazy When You Can’t Sell Real Estate URL: https://transaction911.com/avoid-going-stir-crazy-when-you-cant-sell-real-estate/ Just a few weeks ago, Los Angeles was plagued by wildfires. It’s a tough time to sell real estate. After all, who would want to go shopping for a new home when it’s raining ashes? While I’ve never sold real estate in other parts of the United States, I would imagine that the situation is pretty similar in areas plagued by snowstorms, tornadoes, and other weather-related disasters. Of course, your first thought is probably your family. But, once you know that your family is safe, what next? Will you gawk at the television for days on end and make yourself go a little stir crazy? What to Do When You Cannot Sell Real Estate Believe it or not, there are tons of things that you can do to stay productive in times when you cannot sell real estate—when you can’t be pounding the pavement, showing properties. Here are just a few: Call or text any past client or contact that you have who may be in some sort of danger or who may need to evacuate. Offer your assistance in housing them or their pets (or their extra cars). Like everything else, your generosity will be recognized. Contact other past clients or members of your sphere of influence to catch up. Most people stay home during tough times like these, and your call may be a needed and welcome distraction. Work on your online presence. Update your online profiles, write a blog post, or make a video. Stay connected via social media or start your Instagram or Pinterest page. Do something to build your business while you are staying out of harms way.   The most important thing is to stay out of the way of those that are trying to keep your community safe. But, if you’ve got nothing else to do, a little real estate productivity probably wouldn’t hurt. --- ## 10 Habits You Should Adopt to Be Successful (or more successful) URL: https://transaction911.com/habits-you-should-adopt-to-be-successful-or-more-successful/ If you are sitting in your home office right now (or if you are standing at your kitchen table with your laptop), you may be wondering what new things can you do this year and beyond to be more productive and successful. Admittedly, we’ve been through a tough year. Certain parts of the United States have been extremely hard hit by the pandemic, which is wreaking havoc on the traditional ways that we have worked within the field of real estate. So, to help you weather this very long storm, we’ve come up with a handy list of 10 habits you should adopt to be successful, or more successful—if you are already killing it in real estate. 10 Habits You Should Adopt to Be More Successful Try one new thing each day. If you don’t want to get stuck in a rut, make time to try one new thing per day. Test out that new script or app; try that new social media platform, or make that video you’ve been dreading. The key is to always be doing something—and always trying something new. Don’t do bad days. It’s extremely important to leave drama and bad moods at the door. Since real estate is extremely tough and you often can get all sorts of bad news before lunch, it’s vital to treat every negative like a fly on your arm. Just brush it off and move forward. Stay informed about what’s trending. Keep an eye on the news, and also on the new policies and procedures that impact the economy and real estate. You’ll always want to keep up to date on the latest trending items so that you don’t appear tone deaf to prospects and clients. Accept as many invitations as possible. We all know that networking is vital to real estate. While public events are limited right now, participate in online networking events or host them in order to stay top of mind and meet new people. Experiment constantly. Not quite the same as trying a new thing each day, experimenting has to do with trying new approaches to your business, getting rid of the ones that don’t work and embracing the ones that do. At our office, we recently started using a new project management and communication platform. We tried two actually, abandoned one that didn’t work for us, and embraced the other. Never ask somebody to do something you wouldn’t do yourself. Reflect on this for a moment. How much of a team player are you? When you show that you are willing to roll up your sleeves, it sends a very positive message to the entire team. Exercise and Meditate. Exercise and meditation has become increasingly important and thankfully there are many new at-home options for stress relief, clearing the mind, and self-reflection.    Listen to audio books. Do not diminish the value of audiobooks. From fiction to business, they improve your mind and help you learn new things. You can listen in the car, when you are out on a walk, or even cruising through the grocery store.  Make time for everyone on your team. If you want to have a successful team, you need to put in the time and effort to train and create a positive work environment and culture. Harder to do from home, this can be accomplished through online meetings and fun activities. Start your day with a clean inbox. It sounds ridiculous but excellent communication and quick responses are lacking in many real estate businesses. It doesn’t take much to respond to all emails and phone calls each day, and completing that task before nightfall will set you up for success tomorrow. Looking to have an amazingly successful real estate transaction, feel free to call the transaction coordinators at Transaction 911 to help you increase efficiency by outsourcing the time-consuming paperwork. You trust me, right? Because I want to tell you something that may hurt your feelings a little bit. Here I go: If you want to see more closings this year than you did the previous year, then you need to change the way you do things. Albert Einstein is widely credited with saying, “Insanity is doing the same thing over and over again and expecting different results.”   So, clearly you need to make some changes. But where do you begin? The truth is that few businesses (I know you work on your own in the field of real estate… but, you are a business) are successful exactly as their owners envisioned them. The dangers of not pivoting or adapting are scary. I ask you this: Did you own a Sony Walkman? They were a widely popular product in the 1980s. So, why doesn’t Sony currently have any leading products in the portable music space? (Answer: they didn’t pivot). Now, look at Viagra as an example. Pfizer researchers originally developed this drug to treat hypertension and angina. But, clearly there were able to adapt or pivot in order to become widely successful.  If you would like to have a widely successful pivot in your real estate business, you need to be more like Pfizer and less like Sony. Here’s how:   6 Steps to a Successful Pivot this Year Identify the lead source on each of your closings. Using your CRM, your planner, or a piece of paper, look at a list of your closings last year. (If it is short, then this will take about 1 minute.) If it is long, I’m proud of you because you had a good year, but this will take a bit longer. Next to each, identify the lead source, if you have not already done so. List your advertising and marketing activities. Next, make a list of all the time and money spent on advertising activities. Did you host a party or client appreciation event? Did you send out direct mail? Did you pay for Facebook ads? Did you send out email newsletters? Whatever you did, write it down. Evaluate the relationship between your closings and your marketing activities. Carefully evaluate each activity you listed and whether it resulted in closings. For example, if you spent $1500 on Facebook ads for an open house that did not have any traffic, you might want to avoid that activity or do it differently in the future. Or, if you notice that three of your closings came from one specific attorney referral and you didn’t even send this individual a thank-you note or take him or her to dinner, then you need to make some changes. Feed the activities that resulted in closings and abandon or seriously modify the ones that did not. Explore market trends. Sure, the economy seems good right now, but will it be great throughout the year? Consider what would happen if interest rates increase? What would be the impact on buyers and sellers? How many cash investors are you working with right now? What’s your back-up plan? Always prepare for the bomb to drop or the market to change and have a plan so that you can see continued closings. Look in the mirror. Assess how you have used your time and how you currently spend your time. What time do you start work each morning? Do you follow a typical schedule or do you just see how each day plays out? Even though you are your own boss, I recommend that you get up each and every day and set professional work hours (such as 8:30 am – 4:30 pm) and stick to those hours 4-5 days a week. Set a contract with yourself to stick to the schedule for 6 months, and see how it impacts your business in a positive way. Learn to let go and accept suggestions. We all get complacent and continue to do things the way we have always done them because that is the easiest way to get through the day. It takes the least amount of time because you don’t have the hurdle of making changes, using new platforms, or learning something new. I’ve heard people say “I can’t afford to do that.” The truth is that ‘you can’t afford not to’ make the change. The wider impact of not accepting suggestions and making changes is going to wreak havoc on your closings long term.   About a month ago, we sat down and took a look at our brokerage with its different divisions, and we saw that we were spending a lot of time on one aspect of the business that wasn’t bringing the results. While we didn’t cut it, we decided to dedicate more time and money this year to the divisions and activities where we are currently seeing widely successful results. In that way, we hope to have our own massively successful pivot.  Won’t you join me in doing the same?   --- ## 5 Ways to Make the Most of the New Year URL: https://transaction911.com/5-ways-to-make-the-most-of-the-new-year/ In the past week, I’ve found myself retelling the same story three or four times. And, as we all prepare to restructure or amp up our real estate business models for the coming year, I think that this story is a valuable one to share with you. I once crossed paths with a man who was self-employed and worked about 40 hours a week. Then, one day, I noticed that he wasn’t going to work each morning. Several days elapsed. And, I asked if everything was okay. I then learned that he had made a recent home insurance claim and the insurance company had given them a big fat check. So, this man felt that it would be okay to take some time off until the money ran out; then he would go back to work. This is an absolutely true story. At the time that I observed this, I didn’t think too much about it. I didn’t know that the seeds you sow now bear fruit in 90-120 days and may have a lifelong impact on your lead flow. No matter the amount of money coming in, it is absolutely vital to work a committed 35-40 hour workweek in the field of real estate, and don’t take off too much time to celebrate that awesome transaction that just closed. One Deal at a Time When you work on only one deal at a time and wait until the transaction closes and wait until the transaction closes, it is often difficult to get momentum for the next one. It is true that many folks have trouble balancing the needs of a specific client or a specific transaction with the need to attend to the other contacts in your database. A career in real estate is just like a juggler or a plate spinner in the circus; you’ve got to be able to keep multiple plates spinning in order to avoid the peaks and valleys in your income. Here are 5 ways to structure your day to avoid peaks and valleys in your income: Work a set schedule each week, preferably 35 hours weekly. For at least 15 hours of your schedule, prospect through phone calls, emails, and coffee appointments. Create a fixed marketing schedule with regularly scheduled activities. Keep closing celebrations to under one hour. If you are closing 100+ deals a year; keep closing celebrations to 15 minutes. Rinse, lather, repeat. As you begin to plan your work schedule and set your real estate closing goals, always remember the story of the man with the insurance windfall. The money may last a few months, but then it will be gone. A successful real estate agent like you wants to see regular sales throughout the year. The tips above will help you achieve just that! Best wishes to you for a very happy holiday season and a wonderful new year! --- ## Paperwork Nightmares? Here Are 4 Tips to Sleep Easy URL: https://transaction911.com/paperwork-nightmares-here-are-4-tips-to-sleep-easy/ From state to state, the laws may vary, but every real estate transaction has paperwork associated with it. And, in some states like California, many transactions require over 55 different documents in order to be state compliant. Although we are definitely in a paperless world, there is still a lot of paperwork brokers require—even if it is ultimately housed in the cloud. 4 Ways to Improve Systems for Increased Closings Whether the paperwork is printed or not, the following four tips will keep any agent or broker from losing sleep over paperwork nightmares. Create a strong infrastructure Are you in a paperless office? Do you operate in the cloud? Or, do agents at your office turn in a paper copy of their listing and sales files? No matter how you operate, make sure that the system for creating and reviewing transaction files is easily accessible and clear to all agents and staff. If you are an agent, make sure you understand your office system and check in with your broker to see how files are reviewed. Stay current Big or small, it doesn’t matter. Many offices face challenges in keeping up with the newest real estate rules and regulations. State forms and contracts change regularly. Make sure that the checklist of documents you require for each transaction is clear, concise and up-to-date. One good way to do this is to subscribe to updates on your state association website (and then read the emails when they arrive in your inbox). Provide or participate in training You know what they say: “Rome wasn’t built in a day.” Even the top-producing agents require constant and continuous training. Agents need to be regularly trained on the forms, and how to use them. That’s the job of the broker and the brokerage. If you are an agent in a brokerage which doesn’t keep you up-to-date on policies and procedures, you may want to hang your hat elsewhere (or you may ultimately risk losing the hat). Review all files File review is a key component to ensure that transaction files are error free. Whether the broker or a designee reviews the transaction file, this is a key component of success in real estate. Since all the birds may be flying in a different direction, a strong review component will create teachable moments for the agent and for the entire agency. Whether you are an agent or a broker, taking the time to control the infrastructure of your business by creating workable systems and training programs will lead to better qualified agents and, of course, more closings. When placing a sign in the yard, that sign has a dual purpose: it is meant to give information and also to receive (leads, that is). With the real estate market hopping these days, I’m seeing lots and lots of yard sounds all around town. But, can I actually read them? For Sale Signs – Showstopper or Deal Killer? A For Sale sign needs to be a showstopper, or it needs to cause a driver to want to slow his car just a little bit. If you want to kill it in real estate this season, you may need to do quick evaluation of the quality of your signs. Is your sign a showstopper or does your signage need improvement? Are your signs bringing in the homebuyers? Are they cementing your brand throughout the neighborhood? How’s My Real Estate Signage? Take this Quiz Take this quick 3-question quiz to evaluate whether your signage bites… and follow directions on how to fix it. Standing 30 feet from the sign, can you read your name and phone number? If your answer is no, then you need to make a change. Every yard sign needs to seen from far away. Fonts need to be large and created in colors that are easy to read from a distance. Don’t select colors that blend with the surrounding environment. For example, avoid greens because they are usually a predominant color in a home’s front yard. Do your name, logo, and phone number contain handwriting or serif fonts? A serif font is a typeface that includes a slight projection at the end of a letter. Times New Roman and Courier are serif fonts. Examples of sans serif fonts would be Helvetica or Arial.Believe it or not, those little tails can be hard on the eyes. Don’t get me wrong, there’s many a beautiful logo that includes a serif or handwriting font. However, for passersby who are moving at a high rate of speed, stick with sans serif fonts because they are generally easier to read. Does your sign capture homebuyer information? Gone are the days when a sign in the yard prompts the phone to ring off the hook. With the right systems, you can actually capture the phone numbers of those individuals who are interested in your listing. Text response systems and toll-free automated response platforms will actually capture the phone numbers of prospective buyers. Forget about a flyer box. When you use systems like these, not only do you deliver the information in seconds, but you also capture a prospect’s phone number.   If you want your signs to bring in the business this season, you may need to modify them a little bit. The key is to make it simple for prospective buyers to see the sign, make a call (or text), and quickly obtain the information they want. In this way, the yard sign will give, and it will also receive. --- ## Why the Agent Open House Is Not a Magic Potion URL: https://transaction911.com/why-the-agent-open-house-is-not-a-magic-potion/ Two of my favorite things about Facebook are the Agent Mastermind group and the Raise the Bar in Real Estate group. I just love how everyone learns from everyone in these two groups. Every agent who I know has a special gift—something that really allows him or her to stand out from the crowd. Some are excellent at objection handling, and others are great with the technology. For Kam Ng, a loan officer at Prospect Mortgage (and my friend, of course), his specialty is open house. Kam has made open house his wheelhouse. He works with agents throughout San Diego County to help them prepare for their open houses, and he even joins them to help to convert attendees in to homebuyers and home sellers. I just love the way he has carved his niche in working with agents on open house and I recently asked him to share his secret sauce with me. As you can see below, it is a pretty extensive recipe (just like mole poblano, which also has about 20 different ingredients). Kam’s Recipe for Open House Success Open house is the bread and butter of lead generation; an agent should not just “wing” it.  A lot of Realtors® give up after one slow open house. Open house is not a one-time cure all or magic potion. You might get nothing one week and 10 leads the next week but, most importantly, the consistent effort will turn into money in the bank. Basic tips to improve results at open house: Plan ahead (on Tuesday or Wednesday) for the weekend. Pick your neighborhood and select the right Plan accordingly: avoid holidays or major events (Mother’s Day, Super Bowl, etc); however, some holidays might bring more traffic (such as the Friday after Thanksgiving, for example) Preview, preview, preview. Don’t show up at the house not knowing the number of bedrooms or whether there’s a dead rat in the closet. Give a condition report and feedback to the listing agent. (If you do this, after 4 or 5 open houses, you will have listing agent calling you to hold open house.) Place 20+ open house signs out throughout the neighborhood. (Make sure to be aware of any neighborhood rules about sign size and placement.) Door knock during the week to get to know the neighborhood. (The purpose is NOT to invite neighbors yet, but to get to know the neighborhood.) Preview other similar properties for sale within the neighborhood. Door knock the day before or the day of the open house to invite neighbors. Do all your research about the neighborhood ahead of time. Hold an exclusive one-hour neighbors’ preview prior to the open house. Always have a sign-in sheet, open house app, and/or property search app available. Set up a “sales” station—a table with food, drinks, presentation board, print outs of other listings, etc. Post the open house on Facebook, Craigslist, Trulia, and your MLS; don’t forget to invite neighbors! Dress professionally…no jeans unless you are near the beach or in Hawaii. Don’t stand behind the kitchen counter; welcome everyone that comes through the door. Use Home Scouting Report or other technology to impress potential clients. Know your basic scripts and objection handling.  Make simple conversations using FORD (Family, Occupation, Recreation, Dream). Extra: Create a theme (holidays, cultural, toy drive, art show, etc) or something fun for the neighbors or kids to create engagement. (One agent coordinated several open house in the same neighborhood near Easter Sunday and organized an Easter egg hunt at the same time.) Put on some music and have fun; people will tend to stay longer if they feel comfortable and relaxed. Lastly, follow up, follow up, and follow up some more!  Send thank you cards, make follow up calls, enter every attendee into your database so that you can invite to him or her to the next open house.   I know it sounds like a lot of prep work. Now imagine if you were a potential seller and you see a Realtor® who does most or all of these things. You will definitely get the attention of buyers and sellers. It’s worth the effort! --- ## 5 Ways to Dominate Your Local Real Estate Market URL: https://transaction911.com/5-ways-to-dominate-your-local-real-estate-market/ You’ve probably heard that it’s good to buy local when it comes to food: food from local farms is fresher, and when you buy local, it helps to support local industry. Well, local (or hyperlocalism) is also a pretty good thing when it comes to real estate marketing, too. What is hyperlocalism? Hyperlocalism is the focus on a specific local area. From a marketing standpoint, most consumers are focused on what is going on in their local area more than in the city at large. Because of this, it helps to know your local area like the back of your hand. Additionally, buyers who search online for a local area are much further along in their home search and easier to convert. (Read The Long Tail by Chris Anderson for more on this concept.) For example, a person who searches for homes for sale in a specific community is much further along in the decision-making process than a person who searches homes for sale at the city or state level. There are several easy ways to go hyperlocal with your business both online and off. Here are five simple ways to get started once you have selected a community for your next hyperlocal campaign: Become the local neighborhood expert. Don’t just say that you are the expert, but be the expert. Tour every possible home for sale in the area. Know the floor plans; know the inventory. Know what has sold and for how much. Learn about the HOA, the schools, and the locations of all the parks and local businesses. It helps to know your market. When you make contact with a prospective buyer or seller, you are on top of your game and can visualize their home or the home of their dreams before even beginning an area search. Sponsor local events. Whether it is a neighborhood garage sale day, a food collection drive, or contributions at local school events, it is important to be an active member of the area that you want to farm. Don’t keep your name a secret. Network with neighbors and make sure the first real estate name that comes to mind is yours. Send direct mail campaigns. Keep the neighbors apprised of local home sales and home values through flyers and postcards. Consider investing in online lead capture postcards where owners can visit a website and enter in a code in order to assess their own home’s value. That way, you’ll know when owners in the local area may be considering selling their home. Create social media pages. Consider making a Facebook page for your local area or areas à la nextdoor.com. If you get enough “likes”, you can engage the neighbors and provide relevant information. Include real estate market info and also announcements about other local events and topics that may interest the community. Create hyperlocal online content. If you want to soup up your online presence in a certain community, create lots and lots of keyword-rich content about the community you have selected. The more specific the content, the higher your content will rank on the search engine results pages. Use the Google Keyword Planner to create an online strategy. (Again, check out The Long Tail for more on this concept.) Buying local is good when it comes to fruits and vegetables. It’s also good when it comes to real estate relationships. Real estate searches start online, but they continue with you. It is you who knows the subtle nuances of the area; it is you who knows the floor plans, and it is you who can finesse the situation in order to help your next home buyer or home seller. --- ## 8 Ways to Be Happier at Work URL: https://transaction911.com/ways-to-be-happier-at-work/ Employers like those in the Silicon Valley use a variety of workplace perks, ranging from free food to indoor rock climbing, to improve the happiness of their employees at work. This is good business: happy employees are more productive and motivated, and more likely to stick with a company. But even without fancy benefits, it’s possible to create your own sense of happiness at work. Whether selling real estate is something you feel passionate about or something you simply know you do well, you can increase your happiness at the office (or even working from home) using the strategies listed here.   Ways to Be Happier at Work Find a Career You Enjoy. To be happy, you must do something you love every day. For some people, a career that they enjoy may mean finding a job that uses skills they are proud of. In other cases, a career you enjoy could be work that you are passionate about or find personally fulfilling. If you are not happy in real estate sales, ask yourself how you can be happier or if it is time to move on. Take a look at yourself, your skills, and interests, and find something that you can enjoy doing every day. Find a Job That Gives You Time Outside Work. Admittedly, unless you have self-control and the ability to say no, you may not have a lot of time outside of work. Not everyone needs a career that inspires deep passion or speaks to their personal values. For many people, a job is something that allows them to create a lifestyle they value outside the office. Consider what you want your life to look like and work from there. Take Charge of Your Own Professional and Personal Development. Take charge of your own growth by investing in your personal and professional development. Develop a plan and goals for your career, then pursue them. Ask for specific and meaningful help from your broker or sales manager. Pursue opportunities and connections that you find valuable, even if your current brokerage isn’t creating those opportunities for you. Take Responsibility for Knowing What Is Happening at Work. Knowing what is going on makes you happy. Feeling out of the loop at work, or knowing that you are missing key information that other agents have, can leave you feeling dissatisfied, undervalued, or less experienced. But if you wait for someone else to fill you in, the information you need may never come. Participate in office meetings and attend local trainings. Only Make Commitments You Can Keep. One of the most serious causes of work stress and unhappiness is failing to keep commitments. In many cases, agents spend more time making excuses for failing to keep a commitment and worrying about the consequences of incomplete tasks than they spend completing their work. To manage stress levels and minimize unhappiness at work, create a system for tracking your commitments and managing your schedule. Stay organized enough that you can judge quickly and accurately whether you are actually able to commit to a request or a new assignment.  Avoid Negativity. Are you the negative person who is unhappy? Participating in a toxic work environment will increase your unhappiness, no matter how much you enjoy your job. Choosing to be happy at work means avoiding negative conversations, gossip, and unhealthy work relationships as much as possible. Practice Professional Courage. Sometimes, to be happy, you must practice professional courage. Many people are afraid of conflict, especially in a work setting when it feels like conflict can impact your professional future and financial security. If you’ve never learned how to engage in meaningful conflict, you likely think of it as scary, harmful, and hurtful. Learn to say no to things and people that will take you away from what you love. --- ## Aren’t You in the Real Estate Lead Generation Biz? URL: https://transaction911.com/arent-you-in-the-real-estate-lead-generation-biz/ One of my great friends, who was an incredibly busy short sale listing agent at the height of the economic downturn, was irritated because his short sale taking what seemed like forever. He has closed tons of short sales, and his theory was that this specific deal shouldn’t take too long because there are fewer short sales than there were back in 2010. With fewer short sales, things should be moving more quickly. My friend’s theory was an interesting one, but the truth is that the same kinds of issues and problems that arose in 2010 continue in the distressed property market this year. Are You Working a Deal That Will Not Close? Often when real estate agents do not have a lot of active prospects, they become incredibly focused on the few that they have—even though those folks are not prepared, willing, or able to get to the closing table in the near future. I’ve seen agents show fifty or more residential properties to a single investor in hopes that the investor will become enamored of just one. However, the the truth is that the investor is searching for a specific return on investment that is unrealistic in the present market. I’ve also seen agents attempt to hold together a transaction that is barely salvageable, specifically a short sale on a $100,000 property with four mortgages, a bankruptcy, and a $6000 HOA lien. Generally, it is the lack of leads that triggers agents to focus on deals that may never close. Consider this: if you have ten deals in the pipeline and one deal fails, you still have 90% of your business. While sensitive to your clients’ needs, you are probably not too concerned about where your next dollar is coming from. You are not worried; you have only lost 10 percent of your business. On the other hand, if you have two deals in the pipeline, and one transaction falls through, you have lost 50 percent of your business. Your income is cut in half. You are not prospering. Instead, you may be having a hard time surviving financially. Real estate professionals need to recognize that their chief role is that of lead generator. A significant amount of time every single day needs to be dedicated to lead generation, if you are to continue to be successful despite any changes to the market or the economic condition. Yes, short sales can be tough, but you wouldn’t care that much if you had tons and tons of deals in your pipeline.   Ten Tips for Successful Real Estate Lead Generation If you want to be able to let go of those transactions or clients that are teetering on the brink, it’s a good idea to spend a little bit of time each and every day on lead generation. Here are Ten Tips for Successful Real Estate Lead Generation that do work in any market—not just a troubled one. Network, Make New Friends, and Keep the Old. Go to local and regional networking activities. Socialize with friends. Get face-to-face with as many new and old friends as you possibly can. While it’s typically not a good idea to over-promote, when you are communicating with others, you develop top-of-mind awareness—even though you are only at a block party or little league game. Stay Disciplined and Work Your Plan. Establish a daily, weekly, and monthly plan and stick to it. Don’t just try an activity once and then complain that it isn’t producing leads. Regularly work the same plan for days, weeks, and months. It’s the consistency that will lead to results. Develop a Brand. Ensure that your online persona, your website, and your print material all create a logical message about what you need to offer. First impressions matter. Regardless of whether you meet someone on the street or they find you online, you want them to get a positive impression of you and your real estate services. Provide Items of Value. One of the most reliable ways to generate a lead is by providing an item of value. Whether it’s an ebook outlining the first time home buyer’s encounter or a free comparative market analysis, when you offer a free item of value, it’s very easy to capture a lead and investigate. Follow Up. Developing a consistent follow-up plan is the key to generating a lead. Some leads will convert into buyers or sellers immediately, and others may convert in six months or a year. The only way to preserve top-of-mind awareness is to follow up. Having spent so much time and effort on generating leads, it would be silly to allow them slip through your fingers. Create a Strong Online Presence. Over 90 percent of home buyers and home sellers start their search on the web. So, that’s where you want to be. It’s not enough just to have a website. You need to create a strong online presence through social networks, video, and blogs. Use Video. Visitors who view videos stay on a site approximately two minutes longer than visitors that don’t. That’s most likely why they say, “A picture is worth a thousand words.” When you use video in your online marketing strategies, you create traction. Be a Supreme Multi-tasker. It’s not nearly enough just to send out a direct mail newsletter monthly. You’ve got to do more. Develop a marketing calendar that includes both online and offline activities. Communicate to your social network and stay top of mind. Don’t wallow in a messy deal. Do several activities each and every day so as to get the word out that you are the real estate professional of choice. Ask for reviews, testimonials, and recommendations. Online review sites are all the rage. That’s how people decide which shoes to buy or what plumber to hire. Don’t be afraid to ask current and past clients to evaluate your services online. You’d be surprised at the number of leads you can obtain from people that saw positive reviews of your services online. Be a Local Expert. You can’t be all things to all people. It’s nearly impossible to be at the top of the google for the search terms “Los Angeles Homes for Sale” or “New York Real Estate Agent.” Data shows that it is far easier to land on page one of the search engines when you concentrate on the smaller communities or neighborhoods within the city. Also, people searching for a local specialist are typically further along in their search and an easier result in convert to a closing. So, why not begin there? The key to success in real estate is to always work your plan. You’ve got to be continuously generating leads every single day—regardless of the market, whatever your niche. It’s the agent’s obligation to change and adjust as the market shifts. While distressed properties may be on the decline, if you work your plan you will continue to generate leads no matter the market, no matter your area of competence. --- ## Who We Are URL: https://transaction911.com/who-we-are/ Who We Are What Is Transaction 911? As you know, a California real estate transaction can involve approximately 50 different forms – about 150 pages. Multiply those 150 pages by the number of people who need access to them and one transaction uses nearly 1,000 pieces of paper, plus one or more cartridges of ink. One busy agent can use enough paper and ink each year to make a significant impact on the environment. Of course, you can print any pages you want, but you’ll no longer be saddled with bulging file folders – and you won’t be digging through 150 pages to find the one you want. And it’s not just paper and ink. Going paperless saves time and money – and reduces your carbon footprint. Paperless real estate transactions save you time and money and reduce your carbon footprint by reducing the number of miles you drive. You in your office and your client in his or her home can access transaction forms together in real time, so you can go over them together without ever leaving your office. And with our electronic signature platform, there’s no delay. Your client can sign and those forms can be delivered to all the proper people within minutes. The hidden benefit: saving office space. We’re your team behind the scenes… but if you need us to come to the forefront, just let us know! Do you have a Cancellation Fee? Great news! We only get paid when the deal closes! With the current climate, we expect that some transactions may cancel. That’s ok with the team at Transaction 911. There is no cancellation fee in the event that your transaction gets cancelled. What if my office is not located close to you? We are your virtual transaction coordinating team, and we devised our systems in order to assist agents throughout California. We use all sorts of electronic platforms, including Docusign, in order to assist agents and their clients in completing transactions quickly and efficiently. Can you help with a Transaction I’ve already started? If you have a transaction that you’ve already begun, we will be happy to take over. Just contact our office and speak with one of our outstanding transaction coordinators about the best way for us to step in and assist you with the transactional paperwork you require. Will I have more than one Transaction Coordinator helping me? Generally, you will be assigned one transaction coordinator for all of your transactions. However, just like the rest of the world, sometimes a member of our team may be ill or on vacation. So, one of our backup transaction coordinators will monitor your file and make sure that you get the service you deserve.
